Position Summary:

Coordinates the marketing efforts of the club, supports the administration of F&B, and assists in all office-related areas, in an efficient, courteous, and professional manner that maintains high standards of service and hospitality.


Duties, Tasks and Responsibilities:

  1. Manage the weekly member newsletter, its content and distribution, with advance preparation and planning.
  2. Manage the marketing calendar coordinate with relevant departments to ensure appropriate notification for all events.
  3. Actively market events to club members across all media channels.
  4. Manage all forms of social media facebook, instagram, youtube, pinterest, mobile app etc.
  5. Manage CBC website content ensure it stays current and accurate.
  6. Manage celebration messages and daily birthday and anniversary emails.
  7. Co-ordinate creation of posters and any other products used to promote events.
  8. Assist with all queries relating to food and beverage and catering events, including weddings.
  9. Prepare Banquet Event Orders (BEO) accurately and completely for forecasting and final billing. Attend BEO meetings and ensure information is updated and current at all times. Communicate updates to all departments concerned.
  10. Assist in formatting of menus for all events and outlets.
  11. Work with outside vendors, chef, service team and management staff.
  12. Diagram room layout, banquet item placement and related function details using Visio.
  13. May be present to host/ess for special events, greeting guests and assisting with the event where needed.
  14. Assist with banquet billing and arrange prompt payment for all events, following deposit schedule.
  15. Maintain past and potential client files; schedule calls or visits with F&B Director and Clients to assess ongoing needs clients have for events.
  16. Provide support to the Controller with regards to accounts payable, accounts receivable, purchasing and receiving, inventory for F&B.
  17. Prepare data to contribute to F&B forecast.
  18. Manage outlook calendars and schedule meetings as required.
  19. Become proficient in the use of Northstar.
  20. Maintain club's master calendar and function book.
  21. Maintain all office supplies.
  22. Manage regular maintenance and repair of all office machines.
  23. Produce reports and presentations.
  24. Secretary for meetings take minutes, prepare electronic copy that day and distribute to all meeting participants.
  25. Read and initial the pass-on log and bulletin board daily; know of daily activities and meetings taking place in the club.
  26. Attend department meetings.
  27. Familiar with all safety and emergency procedures and accident prevention policies.
  28. Exceptional written and oral communication skills.
  29. Detail orientated and ability to manage 'proof' reading of communications.
  30. Perform other duties and special projects as assigned by the General Manager.
  31. Maintain confidentiality at all times.
  32. This position is a newly created role, the scope of which will evolve. The candidate must be able to adapt and be flexible to the demands of the position.


  • Able to operate the electronic property management system.
  • Advanced working knowledge of Microsoft office.


Education and/or Experience:

  • High school diploma, GED equivalent or higher required.
  • Two years of office experience.


Licenses and Special Requirements:

  • Flexible hours of work weekend, holidays and evenings.


Physical Demands and Work Environment:

  • Occasional bending, stooping, lifting and pulling.
  • Required to stand for long periods.
  • Frequent sitting, walking and standing.
  • Continuous repetitive actions.
  • Push, pull or lift up to 50 pounds.
  • Work in hot, humid and noisy environment.
